How Earthoc handles enquiries and admissions information.
Trainee passport photographs
A trainee passport photograph is collected only where an appropriate basis has been confirmed and is stored privately for authorised certificate production. It is available to signed-in certificate administrators and is not displayed in public verification results or made part of the browsable website.
Information we collect
Earthoc may receive contact and programme-interest details submitted through the admissions form. Payment details are entered only on Paystack’s hosted service; this website does not collect or store card data.
Certificate registry
Where an appropriate basis has been confirmed, Earthoc records the certificate holder's name, programme, certificate dates, location, status and secure verification identifiers in its official registry. Public verification displays only the limited information required to authenticate a certificate. Telephone numbers, email addresses, identity-document numbers, payment details, birth dates, private reasons and administrative notes are not published.
The registry is not browsable. A visitor must provide the correct Certificate Number and Verification Code or use the secure QR token. Earthoc may display a privacy-reduced holder name where configured. Registry records and audit history are retained to protect the traceability of issued certificates; ordinary administrators cannot permanently delete an issued record.
Use and retention
Information is used to respond to enquiries, administer admissions, issue and authenticate certificates, protect registry integrity and meet lawful operational requirements. Contact Admissions to request access or correction.
